What the shop management template includes

  • Bay & appointment scheduling Drag appointments across bays and techs, with realistic labor-time estimates so the day books at the capacity you actually have.
  • Work orders Write-ups, approvals, technician notes, and time clocks on one ticket — from check-in to quality check to keys handed back.
  • Parts & suppliers Parts lookup per job, special orders, backorders, and supplier accounts, with cost and list price tracked against the estimate.
  • Vehicle history by VIN Every prior repair, fluid spec, and warranty visit follows the vehicle — across owners and across locations.
  • Fleet & commercial accounts Driver-level authorization limits, purchase orders, and consolidated invoicing for fleet and warranty work.
  • Flat-rate labor & tech pay Labor times clocked against flat-rate hours, feeding technician productivity and commission pay without a second spreadsheet.
  • Payments & invoices Deposits, split payments, card-on-file, and Stripe-ready links, with service history attached to every invoice.
  • Multi-location reporting Compare bays, technicians, gross profit, and cycle time across one shop or a chain from the same dashboard.

How a repair runs through the shop

  1. Check-in and write-up. The vehicle arrives with mileage, concern, and requested services logged against its VIN and owner record.
  2. Estimate and approval. Labor and parts are quoted from the service catalog; the customer approves by signature, text, or email before work begins.
  3. Parts and assignment. In-stock parts pull from inventory, special orders trigger supplier purchase orders, and the job lands in a bay with a technician.
  4. Repair and time capture. Flat-rate hours clock as work happens, with additional findings escalated back to the advisor for mid-job approvals.
  5. Quality check and delivery. A QC pass clears the ticket, the customer is notified, and pickup or road-test notes attach to the job.
  6. Invoice and history. Payment posts — card, split, or PO — and the completed work writes itself into the vehicle's history for the next visit.

FAQ

Can it run more than one location?

Yes. Single shops, multi-bay garages, and multi-location groups all use the same template — inventory, customers, and reporting can be shared across sites or kept separate per location.

How is vehicle history tracked?

By VIN. Every repair, part used, technician note, and warranty visit stays with the vehicle even if it changes owners or is serviced at a different one of your locations.

Does it replace our parts and labor catalogs?

It hosts them. Labor times, parts lists, supplier accounts, and margin targets live inside the template, so estimates and invoices price from the same source every time.

Can we migrate our current customer and vehicle data?

Yes. Customers, vehicles, open work orders, and parts inventory import from CSV exports of your existing system, and we validate the data with you before switching over.

Which platforms does it run on?

Windows, macOS, Linux, Android, iOS, and the web — counters, laptops, and tablets on the shop floor all run the same build with live sync.
